Achieve is looking for a part time administrative assistant (approximately 24hrs per week) to help us with our administrative needs and donor management database.  Are you looking for a part time position where you can make a lasting impact? This position is approximately 24 hours per week and has the opportunity for flexible scheduling of those hours.

PRIMARY OBJECTIVE OF POSITION: 
Assist with accounts payable and receivables and other office needs, manage donor database, Neon.  Assist with the day-to-day functions of the office, including answering and directing calls and assist with opening and/or closing.
 
Major Areas of Accountability: 
  • Complete accounts payable and regularly work within Quickbooks
  • Assist with management of donor database, NEON.  Keep database current, well organized.  Input and update new donors,
  • Promptly and accurately process donations from start to finish, including providing staff with the documentation to properly record into Quickbooks.  Assist with reconciling Quickbooks and NEON regularly.
  • Perform all office functions; answer and direct phone calls, answer vehicle cell phone, provide overall support with daily coverage and transportation issues, order necessary office supplies.
  • Greet the participants and public in a polite and helpful manner.
  • Assist with creation of a standard operating procedure for donors and donations – adding new donors/donations through creating a thank you letter and tax receipt, etc
  • Provide assistance to agency staff as the office representative.
  • Maintain updated agency lists.
  • Work with administrative staff and HR to help fill in where needed.  
  • Complete other tasks as needed.
Knowledge and Skill Required:
  • Ability to provide assistance to participants, staff, family members and the general public in a professional, cooperative manner.
  • Knowledge of word processing and other software programs used by the agency (Microsoft Office, Excel, Quickbooks – etc)
  • Knowledge of basic accounting principles and practices
  • Ability to be on time and work scheduled shift
  • Ability to operate office equipment (computer, copier, fax machine, 2 way radio)
  • Ability to engage in a cooperative work style that encourages team work and respect
  • Ability to negotiate and find creative solutions to problems
  • Ability to navigate the computer and learn different computer software programs.

Responsibility for Public Contact:
The Achieve Services – Administrative Assistant will have frequent contact with program participants, parents, guardians, residential staff and the general public.

Education and Experience Needed:
High school diploma or equivalent.  Previous experience in Quickbooks and Accounts Payable preferred. Previous office experience preferred.

Time to Train:
Orientation includes at least 30 hours of training specific to the position. On going yearly training is offered to all employees. Required hours depend on previous experience in the field.
 
Compensation: $19.00 - $21.00 per hour
